Data Retention

Data Retention and Purge Service enables the ability to retain or purge different types of data.

Hours to retain ā€˜converted’ files
Converted files are files that have a ā€˜Convert Complete’ status (input and output are removed). Set the value to 0 to retain files indefinitely.

White List or Black List ā€˜converted’ Convert Types
White List (include) or Black List (exclude) specific convert types from being removed. Add one or multiple Convert Types to one list or the other.
Make a selection and click Add.
Hours to retain ā€˜non-convertible’ files
Non-convertible files are files with the status ā€˜Will Not Convert’ (EG. ignore, document, layout, etc). Set the value to 0 to retain them indefinitely. Note, ā€˜Parent’ files are not included here, they are addressed separately.

White List (include) or Black List (exclude) specific non-convertible convert types from being removed. Add one or multiple Convert Types to one list or the other.

Hours to retain ā€˜parent’ files
Parent files are non-convertible archives like zip, Excel, etc. Set the value to 0 to retain them indefinitely.Ā  Note that if a zip file produces other files, the children would not be purged.

Files must be in a status of Convert Complete to be considered for purge from the system. Also, for files that have been purged, existing reports may be viewed in Run Convert, however running a new report on a purged file is not available.

You can follow purged files by going to Data Ops and next to the file status. Check the Warning Icon column for the trashcan icon. Click on the icon to display the Warning screen and details of the purge.

Files not eligible for purge:

  • Unidentified,
  • Waiting for review
  • Converting files that are still in the pipeline

No_Purge Convert Schema

Here’s a tip that enables further customization of converted, non-convertible, and parent file retention using convert types from the Black List. Simply create a convert type of ā€˜noPurge’ and include it as a selection on the Black List.

Admin > System Settings > Data Retention

This would then allow you to attach the convert type of ā€˜noPurge’ to a particular file that you may not wish to purge. The file will remain indefinitely.

Data Ops > Manage > Edit File

Select the No_Purge Type. Save.

No_Purge can be added as a single Type

or as an addition to another one.
